Privacy Policy

Last updated: October 2026

1. Our commitment to your privacy

Grant Giles (ABN 68 597 650 920) ("Grant Giles Coaching", "we", "us", "our") provides triathlon and endurance coaching, training plans, workshops and related content through grantgiles.com.au (the "Website") and in person. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

This policy explains what personal information we collect, how we use it, who we share it with, and how you can access or correct it. "Personal information" means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether or not it is true and whether or not it is recorded in a material form. "Sensitive information" includes health information, which matters here because coaching involves knowing about your body.

2. What we collect

What we collect depends on how you deal with us.

Website visitors and newsletter subscribers

  • Your name and email address when you subscribe to our newsletter or create a free member account.
  • Your device type, browser, IP address and the pages you visit, collected through cookies and analytics (see section 6).
  • Contact details: name, email, phone number, postal address.
  • Date of birth and gender, where relevant to training prescription or race categories.
  • Payment details, which are processed by Stripe. We do not see or store your full card number.
  • Emergency contact details for camps, in-person sessions and workshops.
  • Training history, race results, goals, availability, and the data you share from a watch, bike computer, power meter or training platform such as TrainingPeaks.
  • Health information you choose to share with us: injuries, illnesses, medical conditions, medications and anything else that affects how you can train. This is sensitive information and we only collect it with your consent.

Images and recordings

At camps, workshops and in-person sessions we may take photos or video that identify you. We will tell you when this is happening, and we will not use your image for marketing without your consent.

Children

Our services are designed for adults. If you are under 18, a parent or guardian must enrol you and will make decisions about your personal information on your behalf.

You can choose not to give us personal information, but we may then be unable to coach you or provide some services. You can deal with us anonymously or under a pseudonym for general enquiries, but not for ongoing coaching.

3. How we collect it

We collect personal information directly from you: through forms on the Website, email, phone, messaging apps, in person, and through the coaching platform you connect to us. We may also receive information from third parties you have authorised, such as a training platform you have linked, a race organiser, or a club.

4. Why we collect it and how we use it

We collect and use your personal information to:

  • Deliver coaching, training plans, workshops and camps to you.
  • Tailor your training safely, which is why we ask about injuries and health.
  • Communicate with you about your training, sessions and bookings.
  • Process payments, send invoices and manage your membership.
  • Send you our newsletter and information about new plans, workshops and events, where you have subscribed or would reasonably expect to hear from us.
  • Improve the Website, our content and our services.
  • Meet our legal obligations, including record-keeping and insurance requirements.

Health information is used only to deliver coaching to you, to keep you safe, or where the law requires it. We will not use it for marketing.

5. Who we share it with

We do not sell your personal information. We share it only with the people and services we need to run the business:

  • Service providers that host and run the Website and our tools: Ghost (website and membership platform), Mailgun (newsletter delivery), Stripe (payments), TrainingPeaks (training plans and data), and cloud storage and analytics providers. Some of these are located overseas, including the United States and the European Union, and your information may be stored on their servers.
  • Professional advisers such as our accountant, insurer or lawyer, where needed.
  • Emergency services or medical personnel if you are injured or unwell during a session or camp.
  • Anyone else you authorise, or where the law requires or permits disclosure.

Third parties we share information with can only use it for the purpose we share it, and are bound by their own privacy policies.

6. Cookies and analytics

The Website uses cookies, which are small files stored in your browser. Ghost uses cookies to keep you logged in as a member. We may also use analytics tools to understand which pages people read and how they found the site. Analytics data is aggregated and does not identify you personally. You can block cookies in your browser settings, but parts of the Website, including member login, may not work.

The Website links to third-party sites and services. We are not responsible for their content or privacy practices.

7. Direct marketing

If you subscribe to our newsletter or become a member, we may send you updates, training content and information about plans, workshops and events. Every email includes an unsubscribe link, and you can opt out at any time by using it or emailing grant@areomaxteam.com. If you opt out, we may still contact you about coaching or bookings you have with us.

8. How we store and protect it

Your personal information is stored electronically in the platforms listed in section 5, and in our own password-protected devices and cloud storage. We take reasonable steps to protect it from misuse, loss, and unauthorised access, including using strong passwords, two-factor authentication where available, and trusted providers. No internet transmission is completely secure, so please take care when sending us information online.

We keep your information for as long as we need it to provide services to you and to meet legal and insurance obligations. When it is no longer needed, we delete or de-identify it.

9. Accessing and correcting your information

You can ask us at any time for a copy of the personal information we hold about you, or ask us to correct it. Email grant@areomaxteam.com. We will respond within 30 days. We do not charge for access requests, though we may charge a reasonable fee for the time it takes to compile a large request. If we decline a request, we will tell you why.

If you are a member of the Website, you can update your own details and manage your subscription through your account.

10. Complaints

If you have a concern about how we have handled your personal information, email grant@areomaxteam.com. We will acknowledge your complaint within 7 days and aim to resolve it within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

11. Changes to this policy

We may update this policy from time to time. The current version is always published on the Website with the date it was last updated. Material changes will be flagged to members by email.
